  • How to access it

You can access Reminders from the bell-like shape on top right of the screen.

  • Add/Edit a Reminder

You can add Reminders in many methods:

1- From the Reminders icon on top of the screen, click Add

2- From the Reminders icon on top of the screen, click Show All, you will be redirected to the grid. Click on the Actions button-> Add Reminder.

3- You can add a new Reminder from Company and Matter Related Reminders tab via the Actions button-> Add Reminder.


4- From the Quick Add drop-down list:

A Reminder form has many important fields:

  • Reminder Type: A defined list that can be customized in the Admin & Setup or on the fly.
  • Remind on Date and Time
  • User to Remind: App4Legal User to be reminded. There is an "Add me" hyperlink that automatically adds the logged in user to the field.
  • Summary
  • Relating Reminders to Objects: You can related to your Reminders objects such as Case, Company, Contact, and/or Task from the Reminder form. All what you have to do is check the box next to any object, look it up and choose it from. Related Reminders to Companies and Cases can be managed also from the Related Reminders tab within the Case/Company form.
  • Clone a Reminder: The same Reminder could be addressed to one or more Users on App4Legal using the Clone Users check box. Once it is clicked, a new field opens to add names of other Users. Reminders cloned to other Users will be considered as standalone Reminders that will be managed separately.

Note that the Reminders grid by default displays the Reminders that are assigned to the logged in User. There is a Show All Reminders hyperlink that authorized users can use to view all Reminders that are assigned to all App4Legal Users.

  • Add Configurations on the fly

All drop-down lists in App4Legal are configurable through the Admin & Setup. Luckily, some configurations can be configured on the fly. For instance, in the Reminder form, a user is adding data and wants to have a new Reminder Type swiftly. There is a blue plus sign that can assist the user to add a new value to the Reminder Type drop-down list on the fly.

  • Dismiss a Reminder

If a Reminder is fulfilled and not needed anymore, you can dismiss it in two ways:

1- Through the drop-down list under the bell-shape icon of Reminders, upon hover additional actions appear.

2- Through the action wheel next to a Reminder entry in the grid.

Once a Reminder is Dismissed, it will no longer appear in the grid or in the pending list. In order to retrieve Dismissed Reminders, you can go to the Advanced Search and filter on the Status: Dismissed.

  • Postpone a Reminder

1- Through the drop-down list under the bell-shape icon of Reminders, upon hover additional actions appear.

2- Through the action wheel next to a Reminder entry in the grid.

Once the postpone action is chosen, the Reminder form opens as a read-only form except for the Remind Date to be edit.

  • Delete a Reminder

1- Through the drop-down list under the bell-shape icon of Reminders, upon hover additional actions appear.

2- Through the action wheel next to a Reminder entry in the grid.

Deleting a Reminder will make disappear from App4Legal database.

  • Automatic count of Reminders

The system will display the count of the pending Reminders for the Users. The Count appear in a red flag above the bell-shape like icon of Reminders on the top right of the screen.

Moreover, in the Setup & Configuration of the Reminders in the Admin & Setup, you can configure:

  • Alert me before: The number of days that the system should start reminding the user concerning the assigned reminders and have it appear in the count of Reminders.
  • Number of Reminders in show list: Number of rows that appear in the pending list of Reminders.

  • Email Notification of a Reminder

In addition to the Send Notification by Email check box, App4Legal offers a service to send notifications emails to the inboxes of Users to be reminded before the maturity date of the Reminder Date. This service is configurable based on the client's business needs. This service can be implemented upon request.
  • Automatic Reminders generated by the system

App4Legal is designed to generate automatic Reminders for the below:

  • Hearings: A Reminder is created once a Hearing is saved to the Lawyer(s) in charge of the Hearing. If a Postponed Date is inserted in a Hearing form, the system will automatically dismiss the old Reminder and create a new one with the new Postponed date. There is a default Reminder Type for these kind of Reminders that is managed from the Default Values in the Administration & Setup.
  • Discharge of Social Security of a Company: When a Discharge entry is being added, there is an expiry date to be inserted with a User to be Reminded. If an expiry date is inserted, an automatic Reminder is created with the Due date of the Expiry and the same User to be Reminded. There is a default Reminder Type for these kind of Reminders that is managed from the Default Values in the Administration & Setup.

  • Search for an existing Reminder

You have 3 methods to search for a Task: Quick Search, Advanced Search and Universal Search.

  • In Quick Search, you can type any word from the Summary field of a Reminder and hit Enter from your keyboard to generate your search results.
  • Using Advanced Search, you can run your search on a specific field from the Task form. You'll have the possibility also to modify the operator of search for each field (i.e. equal, begins with, contains, >, <, and more). the Advanced Search menu is hidden by default; you need to click on the link Advanced Search to unhide it.
  • With Universal Search, you can type any word from the Summary field of a Reminder and hit Enter from your keyboard to generate your search results.

  • Export to Excel

The Reminders grid can be exported to an excel sheet at any moment via the Actions button on the grid-> Export to Excel. Also, search results can be exported to an excel sheet separately.
